Participant Agreement

 

Participants must thoroughly review each of the program Terms & Conditions noted below.  Selecting the box next to each indicates your understanding and agreement to comply.

1. I declare that ALL information I have provided to IIVN is true, to the best of my knowledge, and I understand that any false or misleading information, or attempt to fraudulently take part in an IIVN program, may lead to immediate dismissal from the Program with no refund of monies paid. *
2. I am prepared to accept one of the placements offered by IIVN and its partners. I understand that while every effort will be made to fulfill all placement requests, IIVN cannot guarantee that EVERY aspect of my request will be met. In the event IIVN is not able to confirm a placement that meets my needs, prior to my scheduled start date, I will be refunded 100% of monies paid. IIVN Cancellation Policy will apply. *
3. I will respect all professional decisions made by the Int'l Internship & Volunteer Network, their partners and the host employer/association, regarding the placement process. Until instructed to do so by IIVN, I will not personally contact the host employer/association prior to the final placement decision. *
4. I understand that some projects, especially those that involve children, may require criminal background checks. IIVN reserves the right to cancel my participation if information is found that disqualifies me from a program with no refund of monies paid. I grant IIVN permission to conduct a criminal background check as necessary. *
5. I will respect and adhere to all payment and program schedules, timetables, and deadlines determined by the Int'l Internship & Volunteer Network, their partners and the host employer/association. *
6. I understand that my program begins on the first date of travel to the host country. *
7. I understand I must IMMEDIATELY inform the Int'l Internship & Volunteer Network if I am unable to participate in the program or if I will be unable to arrive in the host country by the established program start date. IIVN Cancellation Policy will apply. *
8. If I withdraw from the Program for any reason, after placement has been confirmed, I understand I am not eligible for a refund of any monies paid. IIVN Cancellation Policy will apply. *
9. In some cases, I understand I may be responsible for my own local travel and housing arrangements while in their host country, with guidance and resources provided by the Int'l Internship & Volunteer Network and/or their partners. If this is a condition of placement, I understand I will be advised prior to a program committment. *
10. I understand that the eating and living facilities at the project location(s), and in the host country, will be of a local standard, and may differ from what I am accustomed to in my home country. In some cases, I understand I may be required to share a bedroom and/or bathroom. I understand I am expected to adapt to and show respect for the local living conditions. *
11. Based on laws governing the host country, I understand that, in some cases, I may not be permitted to work beyond the program end date and understand that I may be required to return to my home country within 30 days of such date, or as otherwise designated by my Visa guidelines. *
12. Depending on host country legal guidelines, I understand I may not be entitled to extended employment by the host employer/association at the conclusion of my program and maintain my participation an IIVN program carries no intent for the same. *
13. I will respectfully represent the Int'l Internship & Volunteer Network, their partners and the host employer/association at all times. This includes, but is not limited to, following all employment policies and scheduling guidelines. Failure to do so will result in immediate termination of my program. No refund will be processed! *
14. I agree to obey all rules and policies of the host employer/association, IIVN and it's partners. I understand I must be courteous and respectful at all times and inappropriate behavior, as deemed so by IIVN, their partners or the host employer/association, may result in immediate termination of my program with no refund of monies paid. Expenses incurred as a result of the project termination will be my responsiblity. *
15. I understand that failure to comply with the laws of the host country will result in my immediate expulsion from the program. Such expulsion will automatically unbind the Int'l Internship & Volunteer Network, their partners and host employer/association from any relationship with, or obligation towards me, and I will receive no refund of monies paid. *
16. I understand I am responsible for fully understanding all program rules and regulations, as well as the consequences if any program and/or placement rules/regulations are not respected. I understand all IIVN policies apply to me and my program. *
17. I understand that the Int'l Internship & Volunteer Network reserves the right to reject any participant whose conduct is perceived as unprofessional, inappropriate or unacceptable, prior to or during the program duration, by IIVN, their partners or the host employer/association. No refund of monies paid will be processed. *
18. I have familiarized myself with the Int'l Internship & Volunteer Network Program Fee and inclusions of the program I am interested in experiencing. I am capable of reading and understanding all inclusions in English. *
19. I will maintain regular contact with the Int'l Internship & Volunteer Network throughout the duration of the program. *
20. I understand I must meet and comply with all Human Resources requirements established by the host employer/association. Failure to do so will result in termination of my program with no refund of monies paid. *
21. I acknowledge I am physically capable of performing all tasks required as outlined in the host employer/association program description. I agree to immediately notify IIVN in the event an existing or future extreme health problem of any sort, restricts my ability to perform, or continue to participate in, my assigned program. *
22. I understand that violation of any of the rules and/or regulations stipulated by the Int'l Internship & Volunteer Network, their partners or the host employer/association may subject me to consequences up to and including expulsion from the program with no refund of monies paid. *
23. I understand a change in the host employer/association is not encouraged. In the event a problem arises with my placement, I understand I must immediately report the problem to IIVN who will make every attempt to rectify the situation. In the event a resolution is not possible, IIVN will provide me with alternate placement options as quickly as possible. I understand I must be prepared to accept a proposed alternative. *
24. I understand I must maintain a clean, professional appearance throughout my program duration and will respect and adhere to the dress code & grooming standards of the host country and host employer/association. *
25. I understand I must report for, and attend work regularly, as noted by the host employer/association work schedule. Failure to do so will result in termination of my program with no refund of monies paid. *
26. I understand that if I choose to be away from my project site/host employer for any period of time or reason, during my program duration, I will not receive compensation for meals and/or accommodation or other benefit of any sort for the time I am away. *
27. In the event I do not complete the duration of my placement with the host employer for any reason, IIVN is not obligated to refund any part of monies submitted. *
28. I will deal confidentially with any host employer/association information I have access to during my program duration and will not provide such information to third parties. I understand that violation of this policy may result in termination of my program, with no refund of monies paid. *
29. I understand my program does not include vacation or holiday time off, unless previously arranged. In the event I wish to take additional days off during the program period, I must request the time in advance from the host employer/association. I understand time requested is left to the discretion of the host employer and I agree to respect their decision. *
30. I understand that if I am involuntarily terminated or voluntarily leave my host employer/association early, I am subject to host country immigration laws, which may include leaving the host country immediately. IIVN is under no obligation to find an alternate placement on my behalf and I am not eligible for a refund of any monies paid. *
31. I understand I must maintain full Int'l Travel/Medical Insurance coverage for the entire program duration. Insurance must include coverage for minor/major medical costs, emergency evacuation and lost or stolen passport/baggage. Proof of coverage must be sent to IIVN prior to departing for my program. I understand I am responsible for familiarizing myself with my insurance coverage and for having a copy of my insurance card with me throughout my program duration. *
32. I understand that if I suffer from any health or other condition that would create a risk for me while abroad, I should not apply. IIVN and it's employees, partners and host employers/associations, will not be held responsibe for any issue that may arise due to this. *
33. I have been strongly encouraged to bring enough money to the host country to cover living and unexpected/emergency expenses that may arise. For safety reasons, Travelers Cheques or Credit Card are recommended financial resources. *
34. I understand the IIVN Program Fees, inclusions and program information are subject to change at the discretion of IIVN due to economic fluctuations and other unforeseen circumstances as determined by IIVN. *
35. I agree to pay all fees in full to IIVN no later than 45 days prior to the start date of my program, in accordance with the guidelines set out in the Application Process and Program Fee Payment Plan. *
36. I have read and understand the IIVN Cancellation Policy and have had the opportunity to ask questions and obtain advice as to its meaning. I understand this policy is legal and binding and applies to me and my program participation. I am capable of reading and understanding the policy in English. I do not rely on any promises, statement or representations that are not expressly stated in this Policy. *
37. I understand all travel arrangements are subject to the terms, conditions, cancellation and other policies of any travel/tour/car/airline or other agency. Under no circumstances is IIVN responsible financially or in any other manner for any cancellation or changes which may occur with any tour/travel/car/airline or other agency. *
38. I understand that IIVN reserves the right to dismiss from the program any participant who is identified by IIVN, their partners or the host employer/association to be a danger to themselves or others, or whose conduct is determined to be unprofessional, unacceptable or inappropriate. In the event of such dismissal, IIVN shall not be held responsible for any expenses incurred by participant and no refund of monies paid will be processed. *
39. I understand that all conditions of IIVN policies/procedures, and the availability of all positions, are subect to change without notice. *
40. I agree to provide IIVN with the name and contact details of my next of kin, or other designated individual, to be contacted in the case of an emergency. *
41. I understand I am responsible for arranging and paying for flights to/from and within the host country. Should I decide to purchase an airline ticket or make other travel arrangements prior to receiving a confirmation of placement details from IIVN and/or legal travel documents that may be required, I will be personally responsible for any and all expenses incurred in the event a change is required. *
42. I understand that IIVN is not responsible for unusual and unforseen events or circumstances, throughout the program duration, including but not limited to weather conditions, civil unrest or other situations beyond IIVN's control. IIVN Cancellation Policy will apply. *
43. Unless otherwise noted, I understand all Professional Internship & Pre-Med Programs are unpaid, professional placements and participation in these programs is reserved for mature, independent individuals, who are prepared to financially support themselves throughout the duration of their program. *
44. I have read, understand and agree to abide by all IIVN Program policies, guidelines and timelines and understand all policies apply to me and my program. *
45. I understand that the processing time to secure a suitable position varies and IIVN only guarantees a confirmed placement prior to my scheduled start date. Should IIVN be unable to confirm a placement prior to this date, 100% of monies submitted will be refunded per the IIVN Cancellation Policy. *
46. I understand that a RUSH CHARGE of $250 USD will be applied to programs starting 45 days or less from date of Acceptance Letter. I understand this Rush Charge is over and above the noted Program Fee and is NON-REFUNDABLE. IIVN Cancellation Policy will apply. *
47. I understand that the IIVN APPLICATION FEE ($250 USD) must be submitted along with the Participant Agreement, within five (5) calendar days following date of Acceptance Letter, and submission of this fee confirms my serious intent to secure an opportunity with IIVN. No action will be taken to further process my Program Application until this fee is confirmed. Application Fee is NON-REFUNDABLE and will be deducted from Total Program Fee due. IIVN Cancellation Policy will apply. *
48. I understand that the IIVN PROGRAM FEE (less Application Fee) must be submitted within ten (10) calendar days following submission of my Application Fee and confirms my participation in an IIVN program. I understand no action will be taken to further process my application until receipt of the Program Fee is confirmed. IIVN Cancellation Policy will apply. *
49. I understand that failure to submit the required Application Fee, Program Fee and Participant Agreement, within the established time frame, will result in forfeiture of my program participation. IIVN Cancellation Policy will apply. *
50. I understand that I am personally responsible for confirming and securing all necessary legal work/travel/visa documents to participate in an IIVN program, in addition to all necessary documentation to travel to/from and within the host country, PRIOR TO DEPARTURE FROM MY HOME COUNTRY. I know of no reason why I would be refused a visa for the country I am visiting as part of an IIVN program. *
51. I understand that, should I fail to secure the necessary legal work/travel/visa documents prior to departure, I may be required to return to my home country to secure such documents and will be responsible for any and all charges that may be incurred. *
52. In the event I have elected to take advantage of one of the IIVN Payment Plan Options offered, I acknowledge my understanding of and agreement to comply in full with all terms of the plan I selected. I declare I am capable of reading and understanding the respective payment plan guidelines in English. *
53. In the event a change in host employer is deemed necessary by IIVN, I understand I must be prepared to accept the alternate placement offered. *
54. I understand I am responsible for reading and carefully considering all materials made available to me by IIVN, that relate to safety, health, legal, environmental, politicial, cultural and religious customs and conditions in my host country. I understand I must be aware of local conditions that may present health or safety risks when making daily choices and decisions. I take full responsibility for consequences incurred in the event that laws, regulations, or customs are broken. *
55. I agree to hold harmless the Int'l Internship & Volunteer Network, its Directors, Officers and Employees from any and all liability, losses, damages, claims, or causes of action and expenses connected therewith (including reasonable attorney’s fees) arising or asserted to have arisen, directly or indirectly, by or as a result of the activities of the program during the term of this agreement caused by negligence of the same. *
56. I understand this Participant Agreement is legal and binding. I have read this entire document carefully and have had the opportunity to ask questions and obtain advice as to its meaning. I am capable of reading and understanding this agreement in English. I do not rely on any promises, statements or representations that are not expressly stated in this Agreement. I agree to abide by all Program Terms and Conditions contained within this Agreement. *
